EVENT REFUND POLICY
EVENT REFUND POLICY

At In2Adventure, we understand that plans can sometimes change unexpectedly. While we strive to offer flexibility where possible, event logistics require firm deadlines and planning. Please review the following policy carefully before completing your registration.

Please choose your entry carefully. Refunds or credits are not typically provided in the following situations:

  • Change of mind after purchase;
  • Inability to attend the event (for any reason);
  • Inability of a family member, friend, or team member to attend;
  • Incorrect selection or mistaken entry.

Changes in personal circumstances, including those of any family or team members, do not constitute grounds for a refund or credit.

Submitting a Request

All refund or credit requests must be submitted in writing to info@in2adventure.com.au and must include a copy of the original event entry.
Requests that do not include the required information or are sent to a different email address will not be able to be actioned

Refund and Credit Timeframes

    • More than 8 weeks before the event:
  • A refund will be issued to the original payment method, minus an administration fee of 20% or $20, whichever is greater.
  • The request for a refund must be received at least 8 weeks before the event.

Requests will only be considered for injury or illness.

  • The request must be received no later than 7 days prior to the event.
  • A medical certificate must accompany the request, clearly stating the participant is unfit to attend on the event date. The certificate must be issued by a registered healthcare professional.
  • A 75% credit minus an administration fee of $20 (valid for 12 months) may be offered at the discretion of the Event Managers.
No refunds are available at this stage. Once a credit is issued, no further refund can be processed.
    • Less than 1 week before the event:

Unfortunately, no refunds or credits can be issued within one week of the event. At this time, most event costs have been incurred and are non-recoverable.

Changes to individual or team entry details incur a $20 administration fee per change.
  • Incorrect Entries
Please double-check your event selection, entry details, and quantity before submitting your registration. Refunds are not available for incorrect selections.
  • Gift Vouchers or Credit Payments
If your entry was paid using a credit or gift voucher, any applicable refund will be issued as a credit only. Monetary refunds do not apply in this case.
  • Complimentary Giveaways
Any complimentary items provided as part of the entry are not included in refunds or credits.
  • Rescheduled Events
If an event is rescheduled and your entry is automatically transferred to the new date, the refund eligibility is based on the original date the change was announced.
  • Requests Outside of Policy
We regret that any requests outside the guidelines above cannot be actioned or responded to. Please ensure all requests align with the policy to avoid disappointment.

Event Cancellation or Rescheduling

In the case of cancellation or rescheduling due to weather, natural disasters, pandemics, or other unforeseen circumstances (force majeure), please refer to the Event Cancellation Policy or Event Rescheduling Policy for further details.

EVENT RESCHEDULE POLICY

EVENT RESCHEDULING POLICY

Where an event is rescheduled due to weather conditions, natural disasters, ‘acts of god’, terrorism, war, pandemic, COVID-19, force majeure, or any other reason deemed so by the organisers, the following applies:

  1. In the event of an event being rescheduled section 4, 5 and 6 of the Event Refund Policy are superseded by the Event Rescheduling Policy.
  2. All entries received prior to the rescheduling of the event will automatically be transferred to the new event date.
  3. Participants that are unable to attend the new date and provide written proof within 7 days of the announcement that they are unable to attend will be issued with a non-transferrable credit valid for 12 months. Please see details below outlining required documentation.

To advise of an inability to attend the rescheduled dates please email the team at info@in2adventure.com.au including a copy of the original entry and relevant documentation listed below within 7 days of the rescheduling announcement.

Event Rescheduling – Written Proof Documentation Guidelines

To be eligible for a credit in the case of a rescheduled event participants should provide written proof to the event managers within 7 days of the announcement that they are unable to attend the new event date.

Written proof is an official document provided by an independent third party confirming the entrant’s inability to attend on the specific dates and times of the rescheduled event date.

The documentation should indicate that the entrant had the arrangements prior to the announcement of the event being rescheduled.  Any arrangements made after the announcement of the rescheduling will not be considered.

Some examples for reference include:

  • Official travel documentation including dates and times of travel and dates of purchase.
  • Entry ticket to an alternative event on the rescheduled event date, showing purchase prior to the date of the rescheduling.
EVENT CANCELLATION POLICY

EVENT CANCELLATION POLICY

At In2Adventure, the safety and wellbeing of our participants, staff, and community are always our highest priority. Whilst we do everything we can to ensure our events proceed as planned, there may be rare occasions where cancellation is unavoidable due to weather conditions, natural disasters, 'acts of God,' terrorism, war, pandemic (including COVID-19), force majeure, or any other unforeseen circumstances deemed necessary by the organisers.

In the event of a cancellation, the following will apply:

  1. Sections 4, 5, and 6 of the Event Refund Policy will be superseded by this Event Cancellation Policy.
  2. All entries received prior to the event cancellation will be automatically transferred to the event date in the following year.
  3. If you are unable to attend the rescheduled event date, you may request a non-transferable credit valid for 12 months by providing written proof within 7 days of the cancellation announcement.

To notify us of your inability to attend, please email info@in2adventure.com.au within 7 days of the cancellation announcement, including a copy of your original entry along with the required documentation.

We understand how disappointing a cancellation can be, and we sincerely appreciate your patience, understanding, and continued support as we work through these challenges together.

EVENT TRANSFER

TRANSFER OF EVENT REGISTRATION POLICY

We understand that sometimes plans change, and we aim to support our participants as much as possible within our event policies.

For the safety of all competitors and the integrity of the event, it is not permitted to participate under another competitor’s name or to sell, gift, or otherwise transfer your entry to another person without following the proper process. Unauthorised transfers void all insurance coverage and may put other participants at risk.

If you are unable to attend an event, please refer to our Event Refund Policy for guidance.

Should you wish to transfer your registration to another person, requests must be submitted in writing to info@in2adventure.com.au no later than three weeks before the event date. Unfortunately, we are unable to process any transfer requests received after this deadline.

Distance Transfers:

  • Transferring to a longer distance: If spaces are available, you are welcome to upgrade. You will simply need to pay the difference in entry fees.
  • Transferring to a shorter distance: If spaces are available, you can transfer to a shorter distance. Please note, however, that any difference in entry fees is non-refundable.

Entry Transfer Fee:
For a change of participant name, a fee of either $25 or 25% of the original entry fee (whichever is greater) will apply, payable by the new participant.

Thank you for your understanding and cooperation. We look forward to welcoming you to the event!

EVENT PROMOTIONS

EVENT PROMOTIONS POLICY

At In2Adventure, we are proud to partner with some of Australia's premier outdoor organisations. Their ongoing support plays a vital role in the success of our events and greatly benefits our competitors. In recognition of their contributions, we are committed to protecting the exclusive rights of our sponsors, partners, and associates to promote their brands and products at In2Adventure events.

To ensure fairness and maintain the integrity of our partnerships, the following guidelines apply:

Signage & Banners
Only authorised sponsors, partners, and associates are permitted to display signage at our events. Any unauthorised signage must be removed upon request. In extreme circumstances, as determined by the Race Director, individuals displaying unauthorised signage may be asked to leave the event.

Promotional Flyers
The distribution of promotional flyers—whether handed directly to participants or placed on vehicles—is reserved exclusively for authorised sponsors, partners, and associates.
Unauthorised distribution of materials is not permitted. Individuals distributing such materials will be asked to leave the event, and legal action may be considered if necessary.
If you would like to request permission to distribute flyers, please contact the team at info@in2adventure.com.au at least two weeks prior to the event. Permission must be granted in writing by the Race Director or Event Director.

Branded Tents
Participants and teams are welcome to bring branded tents that clearly represent their club, team, or personal identity. However, tents must not be placed in areas designated as 'out of bounds' or in a way that suggests endorsement or promotion by the event.
We kindly ask that you consult with the Race Director before setting up any tent within the event area.
If a tent is found to be primarily promotional, it may be relocated or removed at the discretion of the Event Directors, in accordance with this policy.

Branded Vehicles
Branded vehicles are welcome at our events; however, they must be parked in a way that does not imply endorsement or promotion by the event.
Please speak with the Race Director on the day for guidance on appropriate parking locations.

Thank you for your understanding and cooperation in helping us support the organisations that make these events possible. We appreciate your partnership in maintaining a positive and fair event environment for all.

ENVIRONMENTAL POLICY

ENVIRONMENTAL IMPACT POLICY

In2Adventure Pty Ltd is committed to maintaining a minimal impact policy that will enable us as individual members of the general public and members of the Adventure Event community to continue to enjoy the vast natural environment that is Australia’s backyard.

For many, forests and parks are places to relax and unwind, away from the pressures of urban life.  Adventure events are our way to escape and challenge ourselves while enjoying the natural beauty of the Australian bush.  It is a privilege to use these areas while pursuing a sport which we love, and to ensure these natural areas continue to be available to us we must take great care in the way we behave and the way we use these areas.

Natural areas protect our water supplies from pollution and form a scenic backdrop to our towns and rural settlements. National parks are our national treasures — the things we want to keep for our children and theirs.

In2Adventure understands that nature provides life-sustaining processes we tend to take for granted:

  • recycling carbon dioxide to release oxygen;
  • creating soils through decomposition;
  • filtering pollutants from the air and water; and
  • storing water.

We cannot live without nature’s ecosystem services.

By working closely with forestry authorities and land managers during event planning, implementing our ‘Bush and Mountain Bike Codes’ and ensuring that all participants at our events adopt these principles, we aim to minimise the impact that our events have on the environment.

We encourage staff, participants and spectators at events to be ambassadors for our sport and tell others about good practice to ensure the longevity of off road sports.  When in State Forests and natural environments, do the right thing.   Help to protect the environment by following these basic rules:

BUSH CODE
  • Keep to tracks.
  • Protect water quality – wash-up at least 50 metres away from streams and avoid using soap (use gritty sand and a scourer instead).
  • Where there is a toilet, please use it. Where toilets are not available, choose a spot at least 100 metres from campsites, streams and tracks, dig a 15cm hole and bury your faecal waste and toilet paper.
  • All native plants and animals are protected. Do not cut down or damage standing trees or vegetation.
  • Take your rubbish home.
  • Where possible, use a lightweight stove for cooking. If you must build a fire, please follow the fire regulations, be conservative in your use of fuel, ensure your fire is safe and ensure your fire is completely extinguished before you leave.
  • Respect Indigenous culture. Rock art and other sites in parks and forests represent thousands of years of living culture with special significance to Indigenous people. These sites are easily damaged and are irreplaceable. Look at them, enjoy them, but please do not touch or damage these sites.
  • Leave pets at home. Domestic animals are not permitted in national parks and aren’t appropriate at events.
  • Leave campsites tidy.
  • Camp at least 20 metres from any stream, lake or reservoir.
MOUNTAIN BIKE CODE
  • Be considerate of others on the road or trail.
  • Pass other users with care and let them know of your presence well in advance with a short friendly greeting. Being startled will upset even the most tolerant walker or horse rider.
  • Always give way to others. Even if it seems inconvenient, being considerate will foster a positive attitude towards adventure racers. Stop and move aside if you encounter walkers or horses.
  • Ride only where permitted, obey all signs and leave gates as you find them.
  • Yield the right of way to those passing or travelling uphill.
  • Ride in control at all times. When riding, be prepared for the unexpected. Timber trucks, 4WD’s, hikers, horse riders and native animals may also be using your chosen track.
  • Stay on the road or on designated mountain bike trials. Do not ride “off-road” or on tracks closed to bikes as we may damage the environment we have come to enjoy.
  • Minimise your impact, when descending, apply enough brake to maintain control, but avoid locking your bike’s wheels and skidding.  Skidding damages tracks by removing the harder surface layer. This can lead to erosion. Cutting corners also causes erosion, so stay to the designated track.
  • When climbing, shift to a gear that provides comfortable forward momentum and maintains traction.
  • Cross streams slowly, at a 90-degree angle to the stream. Walking may be preferable as stream bottoms are often slippery.
  • Stay away from wet muddy areas where possible, as they are very prone to damage. The tracks we leave behind channel the water when it rains and this leads to erosion.
  • Wash your bike tyres before riding in a different area  this will help prevent the spread of disease and unnatural migration of species
  • Wear a helmet, eye protection and other safety gear.
  • Leave no trace of your presence and take all rubbish home.

“All things are bound together. All things connect. What happens to the Earth happens to the children of the Earth. Man has not woven the web of life. He is but one thread. Whatever he does to the web, he does to himself”. (Anon.)

E-BIKE STATEMENT

IN2ADVENTURE E-BIKE STATEMENT

E-BIKES AT COMPETITIVE IN2ADVENTURE EVENTS

We have been approached to consider including an e-bike category in our competitive events.  We have considered this extensively and spent much time discussing this with many of our participants and considering points of view expressed on numerous forums over a number of years.

We have listened to the opinions, both for and against with valid points on both sides of the debate.  We do believe that competitive events should encourage and reflect personal achievement, however we also recognise that e-bikes do fill an important role in the mountain bike community. For those who may be older or recovering from injury and still wish to enjoy their riding, e-bikes offer an  alternative.

We value inclusivity at our events and as such have been working hard over the past few years to develop strategies where e-bikes can be included at In2Adventure events while ensuring that any possible impacts on other riders who are riding under their own power, are minimised or eliminated.

For this reason In2Adventure may decide to include an e-bike category where this might be integrated seamlessly into a standing event, however, unfortunately this will not be practical for all events, but, where possible, an effort will be made to be as inclusive as possible.
